Tools and budget

What tools are the best value for my size of business?

The best option depends on the job you need to solve. Compare integrated platforms and custom flows with a look at total cost, not just fee.

The cheapest tool can be expensive if it forces you to duplicate work. And a full platform may be overkill if you only manage one brand. To choose AI tools with a good quality-price ratio, start with the tasks you need to solve and who will be able to maintain the process.

First define the actual size of your operation

It is not enough to count followers. The brands you manage, the channels, the people who review and the frequency of publication matter. A business with a responsible person has different needs than a company that coordinates several teams. Also define if you need reports, message attention or approvals.

An integrated platform simplifies the journey

An integrated solution can bring together planning, review and analysis. Evaluate the scope you need, the supported accounts and the cost of incorporating collaborators. Avoid paying for features that no one will use – the best starting point is a simple process that your team can understand and maintain.

What AI adoption reveals by size

Eurostat places the use of AI in 2025 at 17.0% of small companies, 30.4% of medium-sized companies and 55.0% of large companies. The official Eurostat publication allows the decision to be contextualized. This is business adoption data in the European Union, not prices or tool results.

The statistics distinguish small companies with 10 to 49 people, medium-sized companies with 50 to 249, and large companies with 250 or more. It does not represent microenterprises with less than ten people. These differences in adoption do not demonstrate profitability nor justify copying the expense of a larger organization: size the project according to your needs.

What changes when you need to connect tools

A custom flow can connect data, prepare drafts, and request approval. Node-RED is an open source initiative to connect streams. Open software also requires hosting, configuration, and maintenance. Estimate the entire journey, including errors and repetitions, before comparing its cost with an integrated solution.

The subscription is not the entire budget

Adds initial configuration, maintenance, review and time to resolve issues. If you connect OpenAI using an API key, calculate that consumption separately based on its official pricing documentation. Do not assume that a ChatGPT subscription automatically covers any external integrations that use the API.

A short list to compare proposals

  • Scope: brands, profiles, users and features you really need.
  • Consumption: posts, credits, tasks and model limits used.
  • Control: who approves and how a failed process is recovered.
  • Continuity: documentation, support and responsibility for maintenance.
  • Departure: access to your accounts, materials and information if you change suppliers.

Which option fits best according to your business

For a small activity focused on publishing and reviewing results, start by evaluating an integrated solution with just the right scope. If you need to coordinate people, check permissions and approvals. When work depends on data spread across multiple applications, a custom flow may merit a limited test.

Decide with a test you can measure

Choose a real process and record preparation time, corrections and cost. Check if the result maintains the brand voice and if someone can resolve incidents. A flashy demo is no substitute for a week of work with your materials, your exceptions, and your approval criteria.

Requests that any proposal separate the software, start-up and monitoring fee. Asks what happens if a connection changes, consumption runs out, or a publication is pending. It is also useful to know who receives the notices and how long it takes to review them. With that information you can compare the service you will receive, not just tool names. For a small business, having an understandable process and a contactable manager may be more important than accumulating functions that no one knows how to use. The essential thing is that the decision is sustainable for your team.
